Migration guide

Migrate from QuickBooks to FIRMA

QuickBooks forces one company file per entity. Running three LLCs means three subscriptions, three logins, and a spreadsheet to combine your P&Ls every month.

Why operators leave QuickBooks

One company file per entity

Every LLC requires a separate QBO subscription, login, and export. There is no native way to see all entities in one view.

Manual consolidation every month

Operators export three P&Ls into a spreadsheet and hand-total them. Errors compound. The process takes hours.

Subscription cost scales with entities

Adding a fourth business can mean a fourth QBO bill. FIRMA Professional supports up to 5 entities and Enterprise supports unlimited entities.

No intercompany eliminations

QBO has no concept of intercompany transactions. Owner loans and management fees double-count unless removed by hand.

How to migrate from QuickBooks to FIRMA

  1. 1

Export Reports → All Reports → Excel from each QBO company

Log into each QuickBooks Online company file. Go to Reports → All Reports → Export to Excel. Download the Chart of Accounts, Transaction List, and Open Invoices for each entity.

  2. 2

Map your chart of accounts — QBO COA maps 1:1 to FIRMA

QuickBooks and FIRMA use the same account types (Asset, Liability, Equity, Income, Expense). Your QBO chart of accounts imports cleanly with no remapping required.

  3. 3

    Import via .IIF or CSV

In FIRMA, go to Settings → Import Data. Upload your QBO .IIF export or the CSV transaction list. FIRMA validates each row and flags exceptions before posting.

  4. 4

Set up each QBO company as a FIRMA entity

Each QuickBooks company file becomes one entity in FIRMA. Create entities under Settings → Entities. Assign the imported COA and transactions to each entity.

  5. 5

    Run your first consolidated P&L

Go to Reports → Consolidated P&L. Select all entities. FIRMA eliminates intercompany transactions and renders a single multi-entity income statement with drill-down.
